Purchasing

NBL Business Suite / Purchasing Purchase OrderPurchase Order

Create Purchase Order from Supplier who issue the Quotation. Only Supplier with valid Quotation will show in Supplier list.

To create New Purchase Order, select a Supplier from Supplier list, the Material with valid Cost will list out, click New to create New Purchase Order, PO No will generate according format set at Initialize.
To Update Purchase Order, select PO No from list, update particular at Purchase Order group box, then click Update button.
To Remove Purchase Order, select PO No from list, then click Remove button, a message box pop up, click OK to confirm.

Check Bill After PO Cleared will enable Supplier to bill after all item in this PO is received.
Check Lock Ship Method or / and Lock Payment Mode will list those Material with same Ship Method or / and Payment Mode in Quotation.
PO Attention, Ship Attention and Bill Attention are employee for your Organization, you may type any person instead of selection, the person you type will not add to Employee database.

To add a purchase item, click Material Cost table to select an item, enter Quantity and detail at Purchase Item group box, then click Add button.
To correct a purchased item, click Purchase item table to select an item, correct Quantity and detail at Purchase Item group box, then click Correct button.
To delete a purchased item, click Purchase Item table to select an item, then click Delete button, a message box pop up, click OK to confirm.

To pay deposit for this Purchase Order, click Deposit button to open Payment / Instalment.
Purchase Order MUST issue (print, fax or export) before can receive Material.

 ReceiveMaterial Receive

record Material received from Supplier. Only Supplier with PO issued (printed, faxed or exported) will show in Supplier list.
Select a Supplier from Supplier list, the purchase Item with balance will list out.

For New Supplier's Delivery Order, fill Supplier DO No (optional, system will generate, if blank), click New to create New Material Receive.
To Update Supplier's Delivery Order, select Supplier DO No from list, update particular at Supplier Delivery Order group box, then click Update button.
To Remove Offer, select Supplier DO No from list, then click Remove button, a message box pop up, click OK to confirm.

To add a receive item, click Purchase Order table to select an item, enter Quantity and detail at Receive Item group box, then click Add button.
To Add whole Purchase Order, select a PO No from PO No list, click Add By PO button to add.
To correct a received item, click Receive Item table to select an item, correct Quantity and detail at Receive Item group box, then click Correct button.
To delete a received item, click Receive Item table to select an item, then click Delete button, a message box pop up, click OK to confirm.
If Ship To Stock is checked, you must have enough stock for reduce quantity received or cancel receive item, because you need to return those material from stock.

NBL Business Suite / Purchasing Supplier BillSupplier Bill

record Bill issue from Supplier. Only Supplier with Delivery Order will show in Supplier list.
Select a Supplier from Supplier list, all unbilled received items will list out.

For New Supplier Bill, fill Supplier Bill No (optional, system will generate, if blank), click New to create New Supplier Bill.
To Update Supplier Bill, select Bill No from list, update particular at Supplier Bill group box, then click Update button.
To Remove Supplier Bill, select Bill No from list, then click Remove button, a message box pop up, click OK to confirm.

To use Deposit that paid to Supplier as part of or full payment for this Bill, click Use Deposit button to open Use Purchase Order's Deposit. Check Lock Payment Mode will list those Received Material with same Payment Mode in Quotation.

To add a bill item, click Material Receive table to select an item, then click Add button.
To Add whole Supplier DO or PO, select a DO No or PO No from Supplier DO No or PO No list, click Add By DO or Add By PO button to add.
To correct a billed item, click Bill Item table to select an item, correct Note at Receive Item group box, then click Correct button.
To delete a billed item, click Bill Item table to select an item, then click Delete button, a message box pop up, click OK to confirm.

NBL Business Suite / Purchasing Bill PaymentBill Payment

record and monitor Payment due to Supplier.
Select a Supplier from Supplier list, all outstanding bill will list out.

To pay bill, click Bill Item table to select a bill,
Without Finance Tool: Fill Pay Amount box, then click Pay .
With Finance Tool: Click Pay to open Payment / Instalment.
